What condition should food premises be kept in?

UK government guidance says food premises must be kept clean, maintained and in good condition and must allow good food-hygiene practices, including protection against contamination and pest control.

Regular management checks should look beyond obvious cleanliness and identify deterioration before it becomes a food-safety problem.

What should be checked on kitchen equipment?

A practical maintenance check should therefore consider both whether equipment works and whether its condition still supports safe food handling.

How should refrigeration defects be handled?

Move food to suitable working storage where necessary, check relevant temperatures and follow the business food-safety procedure for any food that may have been outside control.

Ventilation, extraction and condensation

Should commercial kitchens keep maintenance records?

A single universal maintenance log format is not required for every kitchen, but useful records can demonstrate that defects are identified, prioritised and closed out rather than repeatedly ignored. They can also connect a breakdown to any food-safety corrective action taken at the time.

Useful evidence may include routine premises checks, defect reports, repair or service records, contractor reports, equipment calibration or verification where relevant, photographs and management sign-off. Keep records proportionate to the business and the significance of the equipment or defect.

Planned maintenance versus reactive repairs

Waiting for equipment to fail can create avoidable food-safety and operational disruption. A proportionate planned-maintenance approach can cover equipment whose failure would significantly affect safe production, such as refrigeration, cooking, hot holding, warewashing and ventilation.

There is not one universal servicing interval for every item. Follow manufacturer instructions, applicable safety requirements, contractor advice, equipment condition and your own risk assessment rather than inventing a blanket annual timetable.

Maintenance and food hygiene ratings

The Food Hygiene Rating Scheme considers the physical condition of the business, including cleanliness, layout, lighting, ventilation, pest control and other facilities. Maintenance can therefore contribute to the condition found during inspection.

Good maintenance does not guarantee a particular food hygiene rating. Ratings reflect the standards found by the inspecting authority across food handling, physical condition and food-safety management.
